Who this policy covers

This policy explains how Greenbrix Capital Inc. (“Greenbrix”, “we”, “us” or “our”) may collect, use, retain and disclose personal information in connection with our website, mortgage services, applications, pre-qualifications and inquiries.

Greenbrix Capital Inc. is an independently owned and operated franchise of the Dominion Lending Centres Network. This policy describes Greenbrix’s handling of personal information. Dominion Lending Centres, lenders, service providers and other organizations may have their own privacy practices when they handle information under their own responsibility.

“Personal information” generally means information about an identifiable individual, as defined by applicable privacy law. It generally does not include business contact information used in a business capacity. This policy does not address employee or contractor information where separate workplace practices apply.

Our commitment

We are committed to handling personal information responsibly and in accordance with applicable privacy legislation. We aim to collect only information that is reasonably needed for the purposes we explain to you or that the law otherwise permits or requires.

Consent and your choices

We collect, use and disclose personal information with your consent, which may be express or implied where permitted, or as otherwise authorized or required by law. By providing information to us through this website, an application, an inquiry or another interaction, you consent to its handling for the purposes described here and explained when the information is provided.

Subject to legal and contractual requirements, you may withdraw consent to further collection, use or disclosure by contacting us with reasonable notice. If you decline or withdraw consent, we may be unable to provide or continue certain services or information. Some information may need to be retained or used to meet legal obligations or address a transaction already in progress.

Information we collect and its sources

You may contact Greenbrix by phone or email, or use the linked third-party mortgage application. This website does not currently collect or store consultation-form submissions or newsletter signups. Information submitted through the external application is subject to the provider’s privacy notices and may be shared with Greenbrix for the purposes described there.

Depending on the service or inquiry, information may include your name, contact details, property information, financial details, credit history, identity information and other details relevant to assessing or responding to your request. The information requested will depend on the circumstances and the stage of the process.

Please do not send passwords, online banking credentials, a Social Insurance Number, or sensitive financial documents through ordinary email. Contact us to ask about an approved way to provide documents.

Why we use personal information

Depending on your relationship with us and the service you request, we may use personal information to:

  • respond to questions, inquiries, pre-qualifications and applications, and provide requested mortgage services;
  • assess financing needs and, where requested, identify or arrange relevant mortgage products and services;
  • coordinate with lenders, insurers, brokers, agents and other participants in a financing transaction;
  • understand your needs, communicate with you, establish or maintain a business relationship, verify identity and meet contractual obligations;
  • administer newsletter subscriptions and preferences where you have chosen to receive updates;
  • operate, secure, maintain and improve our business, website, services and communications;
  • prevent, detect or investigate fraud, security incidents, misuse, disputes or violations of applicable terms;
  • complete a business transaction involving all or part of our business, subject to applicable law and safeguards; and
  • meet legal, regulatory, professional, accounting or record-keeping requirements, or exercise or defend legal claims.

When we may disclose personal information

We do not sell personal information. We may disclose it with your consent, as described when it is collected, or where disclosure is otherwise authorized or required by law.

If you ask us to consider, submit or arrange a mortgage application or financing inquiry, relevant information may be shared, as appropriate, with lenders, mortgage insurers, credit reporting agencies, appraisers, brokers or agents and their relevant affiliates, and other professionals or parties involved in evaluating or completing the transaction.

We may use service providers to support website hosting, software, communications, application intake, analytics, security and business operations. These providers may handle information on our behalf under applicable service arrangements. We may also disclose information in connection with a proposed or completed sale, assignment or transfer of some or all of our business, subject to applicable requirements and reasonable safeguards.

External application and linked websites

Our mortgage application link opens a service operated by a third party. Information you submit through that service is subject to the provider’s terms and privacy practices and may be provided to Greenbrix for the purpose of responding to or processing your application. Please review the provider’s notices before submitting information.

This website may link to other websites or services that Greenbrix does not operate. We are not responsible for their privacy practices; please review their policies directly.

Website use, cookies and analytics

When you use our website, we or our hosting and analytics providers may receive technical and usage information, such as your IP address or other network information, browser and device type, operating system, referring URL, pages viewed, approximate location and the timing or duration of a visit. Cookies and similar technologies may be used to support site operation, understand website use, improve functionality and help protect the site. Your browser settings may allow you to manage cookies and similar technologies.

Where reports or statistics are created from usage information, we aim to use aggregated or de-identified information when it is used for general statistical purposes.

Storage, retention and safeguards

Personal information may be stored by Greenbrix or by service providers acting on our behalf. We retain it only for as long as reasonably needed for the purposes described in this policy or to meet applicable legal, regulatory and record-keeping requirements.

We use physical, organizational and technological safeguards appropriate to the sensitivity of the information to reduce the risk of loss, misuse, unauthorized access, disclosure or alteration. We require service providers handling information on our behalf to provide appropriate protection. No method of storage or transmission can be guaranteed completely secure, and service providers may maintain their own privacy policies.

Where information may be processed

Greenbrix and its service providers may store or process personal information in Canada and, where permitted by applicable law, in other jurisdictions, including the United States. Information handled outside Canada may be subject to the laws of that jurisdiction and may be accessible to its courts, law enforcement or regulatory authorities.

Legal disclosures

We may disclose personal information in response to a warrant, subpoena, court order, legally valid request or other legal process; to an investigative or regulatory body where applicable; to establish, exercise or defend legal claims; to protect rights, safety or property; or as otherwise permitted or required by law.

Access, correction, questions and complaints

You may contact us to request access to or correction of personal information in our custody or control, ask a question about our privacy practices, or make a privacy-related complaint. We may need to verify your identity before responding. Access may be limited where an exception under applicable law applies.

Email updates and Canada’s anti-spam law

This website does not currently offer a newsletter signup form. If you email us to ask about updates, your email address may be used to respond. Greenbrix will seek consent for commercial electronic messages where required by Canada’s anti-spam legislation. You may withdraw consent at any time by contacting us at deals@greenbrix.ca or by using an unsubscribe method provided with a message, where available.

Consent to receive marketing messages is separate from making a mortgage inquiry and is not required to contact us about financing.

Changes to this policy

We may update this policy from time to time to reflect changes in our practices, services or legal requirements. The “Last updated” date indicates when the current version was prepared. Please review this page periodically for updates.
